How to make a signature in Word
Adding a handwritten signature to a Word document takes two minutes. First create the signature image below, then insert it and — optionally — turn it into a reusable block.
Create your signature image

Insert the image in Word
Place your cursor where the signature should go. Go to Insert → Pictures → This Device and select your PNG. Drag the corner handles to resize it so it sits neatly above your typed name.
The Insert Picture dialog is the standard file browser. Once placed, the image shows round corner handles and a Picture Format tab appears in the ribbon for resizing, text wrapping and transparency.
Add a signature line (optional)
For a formal layout, go to Insert → Signature Line and fill in the signer name and title. Word adds an X line you can place your image above. This is a visual signature line, not a certificate-based digital signature.
The Signature Setup dialog asks for the suggested signer’s name, title and email. Word then drops an “X” line with those details into the document — a visual line for printing or email, not a certificate-based signature.
Save as a reusable Quick Part
Select the image plus your typed details, then choose Insert → Quick Parts → Save Selection to Quick Part Gallery. Next time, insert the whole block in one click.
Frequently asked
It is a handwritten signature image inserted into the document. Word also offers certificate-based digital signatures (Insert → Signature Line → Microsoft Office Signature Line) for cryptographic signing — that is a different feature and requires a digital certificate.
